Preparing the
Traveler: We
avoid 90 percent of the questions you would be asked repeatedly by
preparing a mailing to all qualifiers prior to your trip. This covers
everything from extra sweaters for cool evenings to information on the best
shopping buys.
Advance
Planning: Hundreds
of details are checked and rechecked in the crucial advance planning stages
by working closely with your participnts at every
point.
Using Sports to
Motivate: Golf
or tennis tournaments and fishing expeditions can be organized in advance
through mailings to prospective qualifiers to further enhance your
motivation campaign.
Travel
Arrangements: Forty-five
days before your trip is the standard time for us to assign each traveler's
air itinerary. Once arrangements are made, a custom itinerary is
mailed to each individual. This gives each participant an opportunity
to review the arrangements and notify us of any discrepancy or if a change
is required.
On Arrival: Our trip directors are on hand
to meet and greet all arrivals at the airport and hotel freeing your
company officials to welcome their winning customers. You can turn
any problems over to us.
During the
Stay: Our
familiar staff has been busy overseeing hotel preparations for each event,
helping individuals plan their free time, reconfirming return flights,
posting messages, handling special requests, changes, and problems.
Hartville Travel's staffed hospitality desk becomes the hub of trip
operations.
Departure Day: Our professional procedures
bring system and order to what can be a chaotic day. We keep busy
behind the scenes preparing lists and departure schedules which are
distributed to the hotel front desk, bell captain, doorman, and ground
operator ensuring that all goes smoothly. We screen master account
billing and check individual account billings to avoid confusion for your
people on checkout. Late checkouts are arranged where necessary;
flights are checked for timeliness; and baggage control is carefully
supervised.
Accounting: We scrutinize the master
account and check for discrepancies in billing before providing you with a
detailed accounting and reconciliation of expenses.
